Penny Rounding Setup

To limit any potential liability, FullCount wants customer organizations’ personnel to be the ones to set/maintain their own Penny Rounding configuration settings.

 

To help ensure compliance to this, FullCount Project Manager (PM) user accounts will NOT have direct access to editing this feature’s configuration settings.

 

All customer organizations will initially be configured such that organization users see nothing regarding this feature or its configuration settings while PM users can see but not edit the configuration settings.

 

When a customer organization requests to use this feature, the FullCount support/implementation person servicing this request should…

  1. obtain a written request (email is fine) for the feature to be enabled and store the written request in an appropriate support ticket.
  2. Submit a redmine so that someone from the FullCount Data Import team change the COMMUNITIES.ROUNDING_RESTRICTED field to “N”.

 

This will enable the Cash Rounding tab within the Community/Organization button to be able to be maintained by non-PM users with the Community – Full function.

 

The FullCount support/implementation person should instruct the appropriate customer organization’s user to set their organization’s configuration settings for the feature to achieve their desired behavior.

Community/Organization - General

Cash Rounding Restricted in the Back Office can be listed in two possible values:

  1. Project Manager Only: Project Managers CANNOT edit these settings, and are restricted to read-only for the Organization Info Page, and 
  2. Unrestricted: Back Office users who are NOT Project Managers can see the new Cash Rounding tab if they have Community-Full (edit privileges) or Community-Read Only role functions.

Community/Organization - Cash Rounding Tab

Project Manager View

Project Managers will be able to access the Cash Rounding Tab and see information for past, current and future cash rounding rules. Other than reviewing these settings and reviewing the info tab to see who recently made changes, nothing else can be done.

Back Office - Community - Full View

Back Office users with Community - Full will be able to select New Cash Rounding Rule, and must designate each of the following settings for Cash Rounding to be used:

  • Effective Date
  • Rule
    • No Rounding: Default setting.
    • Optional:

    • Required: Totals are always rounded to the nearest 5 cents, and which direction this is rounded is dependent on the Method used below.
  • Method
    • Nearest: This is also known as symmetrical rounding. If the final digit of the total transaction amount (including taxes) is 1, 2, 6, or 7 cents, the amount is rounded down to the nearest multiple of five. If the final digit is 3, 4, 8, or 9 cents, the amount is rounded up.
    • Down: Always rounded down to the nearest multiple of 5. Ex: $10.04 would round down to $10.00.
    • Up: Always rounded up to the nearest multiple of 5. Ex: $10.01 would round up to $10.05.
  • Adjustment Item Code
    • An item must be created in the system, as this will be used for the adjustment, similar to Service Charges needing an item in order to generate the charge.

Back Office - Community - Read Only

Community - Read Only users will have the same view as a Project Manager, and not be able to make any changes.
