Service Period Maximum Checks Per Customer

A new validation has been added to prevent customers from exceeding their allowed number of meals within a Service Period. At the request of Meridian College, communities can now configure limits for each Customer Type within a Service Period, such that residents or students cannot reuse meal plan scans during the same mealtime.

In Back Office > Admin Center > Service Periods, a "Maximum Checks Allowed" can be set for each Customer Type in a Service Period. Here, the method of enforcement for the validation can be configured:

  • Warn: Displays a message when the customer exceeds the limit but allows the user to proceed.
  • Not Allowed: Prevents the check from being assigned and requires a different customer or form of payment.

Example of where check limits are set under Service Periods

The Order Items on a check are used to determine the customer type(s) being validated. A single check may count against multiple customer types if items for more than one customer type are present. The validation runs when a check is attempted to be closed to a customer. If a customer has already reached their maximum checks for a customer type for the currently active Service Period, the user will be notified based on the behavior configured above (Warn/Not Allowed). Note: Currently, checks are being validated against community wide active service periods.

Validation Examples

  • A community sets the Breakfast Service Period to allow 1 Resident check per day.
    • Ricky Bobby (Resident) closes his first Breakfast check → Allowed.
    • Ricky Bobby (Resident) tries to close a second Breakfast check within the designated Service Period window → Blocked or warned, depending on the configuration.
  • If Ricky closes a Breakfast check to a Guest customer type, it counts toward Guest limits (if applicable) but not Resident limits.
  • If a check contains both Resident and Guest customer types, it is validated against both limits. The check may pass one limit and fail the other.
  • Limits are tracked separately for each Service Period and Customer Type.
    • A Resident check at Breakfast does not affect the separate rules designated for the Lunch Service Period.
    • Guest and Resident checks are counted independently, even if assigned to the same customer.
